Switching letting agents: A guide for landlords

Choosing the right letting agent can make a real difference to how your rental property is managed. If communication is inconsistent, maintenance is delayed or your current service no longer meets expectations, it may be time to consider a change.

For landlords with tenants in place, switching agents can seem daunting. However, with the right support, the transition can be straightforward and cause minimal disruption.

At Ashtons, we work with nearly 2,500 landlords and manage around 1,000 tenancies, supported by 18 dedicated lettings team members. We coordinate handovers directly with other agents, helping landlords navigate the process with confidence and ease.

Keeping tenants informed

Having existing tenants don’t prevent you from changing letting agents. Clear communication ensures they understand the new arrangements, know who to contact and are served the correct notices.

We introduce ourselves to tenants, provide updated contact details and explain any changes to rent payments and maintenance reporting, helping maintain continuity throughout the transition.

Finding the right property management service

When choosing a new agent, consider maintenance response times and if tenants can report emergencies 24/7, property inspections reports, compliance support and local market knowledge.

Our experienced team takes a hands-on approach, helping landlords manage their responsibilities while ensuring their properties receive the attention they need.

A smooth handover process

Before making the move, review your existing agency agreement, including notice periods, termination clauses and any applicable fees. Once Ashtons is appointed and the necessary notice arrangements are in place, we coordinate the handover, including:

  • Documentation: Transferring tenancy details and compliance records following a full tenancy compliance health check.

  • Keys and access: Arranging collection with your outgoing agent.

  • Outstanding issues: Identifying repairs or other matters requiring attention.

  • Tenant communication: Explaining the new arrangements and providing updated contact details.

  • Property visits: Assessing the property's condition and identifying any concerns.

We keep landlords informed throughout, reducing the need to coordinate every detail themselves.

Staying ahead of changing legislation

As legislation evolves, our team ensures you remain informed, confident and fully supported. With the Renters’ Rights Act introducing significant changes to the private rented sector in phases over the next few years, knowledgeable support and guidance can help landlords understand their responsibilities and prepare for new requirements.

Added reassurance with our Premier Managed services

Our Premier Managed service offers additional certainty and protection throughout, helping ensure your property is managed with greater confidence, financial reassurance and expert support:
